Bringing the ideas to life is our expertise. We are Meeting u, the one-stop shop for events. From exhibitions and seminars to festivals and open days, on location, online or blended. We take care of the planning, the location, the roadmap, the décor, the enthusiastic speakers and the entertainment. On the day itself, we take full charge. And talking of charges, we keep track of the budget throughout the whole process so that our client can keep smiling long after such a successful event. Their event. Our passion.

Who are we looking for?

As an event coordinator in the Meeting u department, you are working as a hospitality professional making sure guests feel welcome and at home. As an expert in your field, you are an example for students who get trained in this field. You guide them in becoming professionals. Based on the role or roles you fulfil; you contribute as a team member to the result responsible team and the ambitions of the organization.

As event coordinator you will fulfil the following three roles:

Professional

  • A multi-tasker in your expertise.
  • Identifies bottlenecks in the execution of the activities and suggests improvements.
  • Evaluates the purpose of activities, working practices, methods and (practical) assignments and suggests improvements.

Coach

  • Improving service by communicating and assisting students to understand guest needs.
  • Providing guidance, feedback and individual coaching when needed for students and team members.
  • Coaches' students regarding work practices, practical assignments, research and/or the use of study materials, machines and instruments, amongst other things.
  • Checks the students' work and gives specific feedback.
  • Has strong affinity and applies 21st century skills.

Team member

  • Works in the result-responsible team on the team's joint assignments.
  • Contributes to the transfer of knowledge and actively shares knowledge and experiences.
  • Actively seeks feedback and feedforward for personal development.

As an event coordinator your responsibilities are both educational and operational:

  • Event Planning: Working closely with clients or stakeholders to understand their event requirements, objectives, and budget. Developing event concepts, themes, and timelines based on their needs and ensuring all logistical aspects are considered.
  • Event Promotion and Marketing: Collaborating with marketing teams or agencies to develop event promotion strategies. Utilizing various channels, such as social media, websites, and print materials, to generate awareness and attract attendees.
  • Logistics and Operations: Overseeing all logistical aspects of the event, including setup, signage, seating arrangements, audiovisual equipment, and transportation. Coordinating event schedules, timelines, and ensuring smooth transitions between program elements.
  • On-Site Event Management: Being present at the event venue to oversee the setup, manage event staff and volunteers, and handle any unexpected issues or emergencies. Providing on-site support to clients, vendors, and attendees throughout the event.
  • Post-Event Evaluation: Collecting feedback from clients, vendors, and attendees to evaluate the success of the event. Analyzing data, identifying areas for improvement, and preparing post-event reports to share with stakeholders.
  • Team Coordination and Leadership: Leading and managing event teams, including staff, volunteers, and external contractors. Assigning tasks, providing guidance, and fostering a collaborative and productive work environment.
  • Effective communication, organizational skills, attention to detail, and the ability to multitask are crucial for success in this role. You must also be adaptable, resourceful, and able to handle high-pressure situations while maintaining a positive attitude.

In addition, our ideal candidate should have:

  • Empowering students to provide excellent customer service.
  • Good theoretical and practical knowledge in the educational field.
  • Excellent knowledge of and insight into developments in the professional field.
  • Skilled at instructing and motivating students.
  • Skilled at planning and developing learning activities, methods, working practices and (practical) assignments.
  • English Cambridge level B2.
  • Preferably Dutch native speaker.
  • A bachelor's degree – or the willingness to obtain one.
  • An educational didactic endorsement – or willingness to obtain one.

As an event coordinator you have contact:

  • With the students regarding the execution of activities and research, for coaching purposes.
  • With the team to ensure a good quality of education.
  • With other departments within the company.
  • With coaches and teachers regarding the content of practical education.

We offer you this
A versatile and dynamic position in an organisation that is rapidly evolving and where there is a lot of focus on personal development and room for own initiative and ideas. Your gross salary will be, depending on your knowledge, experience and thus job level, salary range of € 2.724,20 - € 3.631,83 gross per month for a full-time job based on scale 7 of the compensation and benefits of NHG.

NHG also offers attractive terms and conditions including many opportunities in personal and career development, participation in collective health insurance and an employer vitality plan. Other conditions include a structural end of year bonus of 8.3%, paid parental leave, a bicycle scheme and travel compensation as well as other insurance schemes.

The operational hours – you will work 5 days per week and depending on your shift this may include a weekend. Working hours are from 9:00 AM to 17:00 PM. Note that flexibility in working hours may be required to accommodate peak periods, and special events. 

The contract is initially for the duration of 1 year but can be extended after successful completion of this period.
