The International Business School, one of the 20 schools of Hanze University of Applied Sciences (Hanzehogeschool Groningen), is currently looking for an enthusiastic Management Assistant to the Dean (0.6 FTE).
IBS offers a versatile education in International Business, both at bachelor and master level.
The teaching language is English except of the partly German taught classes of Betriebswirtschaft in year one. Furthermore, IBS offers the international master programmes Master of Business Administration (MBA), Master in International and Business Management and Master Interdisciplinary Business Professional (MSc).
The International Business School provides Higher Education to 1,500 students from over 70 different nationalities. Faculty and staff, around 90 from approximately 20 nationalities, have diverse backgrounds in international business and education. IBS is the most international school of Hanze University of Applied Sciences (UAS) in Groningen.
The IBS-management team consists of the dean, three heads of education and a head of operations. You will be part of the IBS-administration team that consists of approximately 20 employees under which the head of operations, students from the info desk, management assistants and employees for educational support.
The language of communication within IBS is English.
What do we expect from you?
You support the Dean in all aspects of his work. This work focuses both on direct management support of the dean and on the implementation and progress of policy within the school.
As a management support assistant, you prepare meetings and other meetings, monitor appointments, are responsible for the agenda management of the dean and archive meeting files. You maintain internal and external contacts. You draw up (annual) plans and monitor deadlines and progress of appointments made and decisions taken.
You also process, collect and edit mails, letters and notes and you are responsible for the layout and editing of presentations, notes and policy documents.
You also monitor the internal processes, regulations and procedures and make proposals for their improvement. You plan the introduction of the policy cycle and support the management in the implementation and progress of the policy. In doing so, you always keep an overview and you propose solutions for any bottlenecks that arise. You also coordinate activities for support staff with regard to specific subjects and provide support for projects.
- Preferably degree for executive secretary at HBO level;
- Several years of experience as secretary is mandatory (preferably at Hanze UAS);
- Able to work in a complex and dynamic environment;
- Good planning and organising skills;
- Experience with data processing in automated systems;
- Good oral and written fluency in English and Dutch (C1);
- A very good use of Ms Office (Outlook, Word, Excel, PowerPoint, etcetera);
- Integrity, stress resistant and accurate.

We are looking for an enthusiastic and energetic assistant who likes tackling problems and who has both feet firmly on the ground. You are organisation-sensitive and therefore have a good feeling for the mutual relations within an organisation. You are customer and result-oriented, take the lead and are goal-oriented. You know what is important and are good at setting priorities. You have a sense of humour and can also put things into perspective. In doing so, you remain in control and you do not lose the overview. Naturally, you have excellent verbal and written communication skills and you are flexibly available.
Conditions of EmploymentDate of entrance will be as soon as possible. It concerns a temporary position for a period of approximately one year with the possibility to extend the contract. Appointment takes place according to the conditions stated in the legal provision of the CAO-hbo. The function scale is 8. The salary will amount to a gross minimum of € 2.533 and a gross maximum of € 3.479 per month based on a full time position. In addition, you will be entitled to holiday pay and a year-end bonus. Hanze UAS offers plenty of opportunities for further development in your field. A certificate of good conduct may be required (VOG). You will get reimbursement for the fee by the Hanze University. .
